Published prices for clinic software in India, the hidden costs to ask about — per-doctor pricing, GST, WhatsApp, setup — and how to compare plans fairly.

Quick answer: for a small clinic in India, cloud clinic software with published prices costs roughly ₹6,000 to ₹17,000 a year for one or two doctors, before GST — for example ₹5,988, ₹6,500 and ₹10,999–₹16,999 a year on three vendors' own pricing pages. Bigger hospital systems with IPD, insurance and many users are usually quoted on request. The sticker price is only part of the cost: check what each plan includes per doctor, and what you pay extra for WhatsApp messages, setup, pharmacy, lab and data export.
This guide shows published prices, the hidden costs to ask about, and a simple way to compare plans fairly.
What decides the price
- Number of doctors and staff logins. Many plans are priced per doctor; others allow a set number of users.
- Modules. Appointments and billing are basic; pharmacy, lab, inpatient (IPD), insurance and accounting usually cost more.
- Messages. WhatsApp and SMS to patients usually come with a limited free quota and a per-message charge after that.
- Cloud or installed. Cloud software is a subscription; installed software is often a one-time licence plus a yearly maintenance fee, and you manage the computer and backups yourself.
- Support and setup. Some vendors charge for onboarding, training or moving old data.

The hidden costs to ask about
Before comparing sticker prices, ask every vendor these questions in writing:
- Is the price per doctor or per clinic? A ₹10,000 plan for one doctor costs ₹30,000 for three.
- Is GST included? Some prices are shown before 18% GST.
- What does WhatsApp cost? How many messages are free, and what is the charge after that? Are you charged for messages that fail?
- Are pharmacy, lab and online booking included, or extra?
- Is there a setup, training or data-migration fee?
- Is there a commission on online bookings? Marketplace-style booking platforms may charge per appointment.
- Can you export all your data — patients, visits, bills — if you leave? And is there a charge for it?
- Is support included, and in which language and hours?
- What happens when the year ends? Is the renewal price the same?
How to compare plans fairly
Work out the real yearly cost for your clinic, not the starting price:
- the yearly plan price for your number of doctors
- plus GST, if it is not included
- plus the modules you need — pharmacy, lab, online booking
- plus the WhatsApp messages you expect beyond the free quota
- plus any setup or training fee
The total is your real yearly cost.
Then divide by 12 to compare monthly, and by the number of doctors to compare per doctor. A plan that looks cheaper per year can be costlier once a second doctor or the pharmacy is added.
Is free clinic software good enough?
Free and downloadable programs can work for a single doctor who only needs basic records, but ask:
- Where is the data stored, and who backs it up? A crashed computer can mean losing years of records.
- Is there anyone to call when something breaks during a busy OPD?
- Does it do GST bills, queues and patient messages, or will you need another tool alongside it?
For most clinics, a low-cost cloud subscription with backups and support costs less than one lost day of records.
Questions that matter more than price
- Can a new receptionist book a patient in under a minute?
- Does it work on the devices you already have?
- Can patients get updates on WhatsApp without installing an app?
- Can doctors keep using paper if they want to?

Frequently asked questions
How much does clinic management software cost in India?
Published cloud plans for small clinics range from about ₹6,000 to ₹17,000 a year for one or two doctors, before GST, based on the prices vendors list on their websites. Hospital systems with inpatient and insurance modules are usually priced on request and cost more.
Is clinic software priced per doctor?
It varies. Some plans are for one doctor, while others include a set number of doctors and staff logins. Always compare the cost for the number of doctors you actually have.
Do I have to pay extra for WhatsApp messages?
Usually, beyond a free quota. Ask how many messages are included, the price per message after that, and whether failed messages are charged.
Is cloud software better than one-time software?
For most small clinics, yes: there is nothing to install, backups are handled for you, and it works on any device. One-time software can be cheaper over many years but leaves backups, updates and computer problems to you.
Can I move my data if I change software later?
Ask before you buy. A good vendor lets you export patients, visits and bills, so you are not locked in.
