Clinic WhatsApp Bot in India: Do You Need a Bot or Just Automation?
What a clinic WhatsApp bot does, what it costs, the official-API rules, and when simple WhatsApp automation for bookings and reminders is enough.

Quick answer: a clinic WhatsApp bot is a program connected to your clinic's WhatsApp number that replies to patients automatically, usually to answer timing and fee questions or collect appointment requests. It is not illegal, but it must run on the official WhatsApp Business Platform — bots built on WhatsApp Web or a personal number break WhatsApp's terms and the number can be banned. For most small clinics in India, a full chatbot is more than they need: what saves the receptionist's time is automatic WhatsApp messages (booking confirmation, token number, reminder, reschedule), plus an online booking page for patients who want to book themselves.
This guide explains what a clinic WhatsApp bot actually does, what it costs, the rules you must follow, and when a bot is worth it and when it is not.
What a clinic WhatsApp bot does
A bot answers a patient's WhatsApp message without a person typing. A typical clinic bot has four jobs:
- Answer common questions — OPD timings, doctor names, consultation fee, address, whether the doctor is available today.
- Take an appointment request — it asks for the patient's name, the doctor and a preferred date, then hands the request to the clinic.
- Send updates — confirmation, reminder, reschedule.
- Pass the chat to a person when the patient asks something it cannot answer.
Two kinds exist, and the difference decides the cost and the risk:
| Menu bot (rule-based) | AI bot (chat-style) | |
|---|---|---|
| How it talks | Patient taps options: Book, Timings, Location | Patient types freely, in English, Hindi or Hinglish |
| Setup | A few hours to build the flow | Needs your services, fees and doctor details loaded and tested |
| Risk | Low — it only says what you wrote | Can give a wrong answer if its information is incomplete |
| Good for | Timings, location, booking requests | Varied questions at high message volume |
Do you need a bot, or just WhatsApp automation?
Most clinic WhatsApp work is not conversation. It is the same few messages repeated for every patient. Sorting your WhatsApp time into the two makes the choice clear:
| Work | Needs a bot? | What does it |
|---|---|---|
| Booking confirmation with doctor, date and time | No | Booking software |
| Token number and live queue link at check-in | No | Queue software |
| Reminder the evening before | No | Booking software |
| New time after a reschedule | No | Booking software |
| Prescription or bill link after the visit | No | Clinic software |
| "What are the timings?" | Yes, or a printed answer | Bot or a pinned message |
| "Is the doctor in today?" | Yes | Bot or a person |
| Booking by chatting with the clinic | Yes | Bot, or an online booking page |
If most of your time goes on the first five rows, you need WhatsApp automation inside your clinic software, not a separate bot. A bot is worth adding when the clinic gets so many "what are the timings" and "can I come at 5?" messages that a person cannot keep up.
Many clinics also solve the last row without a bot: a public booking page where the patient picks a doctor and day on their own, and reception confirms. It needs no chat at all.
The automatic part, without a bot: OPDly sends the booking message, token, reminder and reschedule notice for every visit by itself. See WhatsApp for hospitals.
What a clinic WhatsApp bot costs
Prices vary by vendor and change often, so use this as a way to ask the right questions rather than as a quote. A bot usually has four cost parts:
- Setup — a one-time fee for building and testing the flow. Custom builds cost more than ready templates.
- Platform or software fee — monthly, for the tool that runs the bot and the shared inbox.
- WhatsApp message charges — on the official platform, Meta charges for business-started messages, and the software provider may add its own margin. Check Meta's current rate card for India before you commit.
- Your time — someone has to keep timings, doctors and fees up to date and read the chats the bot cannot handle.
Ask any vendor whether message charges are included or billed separately, and whether a person can take over a chat at any time.
Is a WhatsApp bot legal?
Yes, if it is built the right way. The risk is not the bot, it is the connection:
- Official WhatsApp Business Platform — businesses message patients through approved providers and pre-approved message templates. This is the allowed route.
- WhatsApp Web or personal-number automation — tools that drive a normal account break WhatsApp's terms, and the number can be restricted or banned. If it is your clinic's only published number, losing it is a serious problem.
Rules to follow
- Get the patient's agreement. WhatsApp's business policy requires opt-in. Ask at registration: "Can we send appointment updates on WhatsApp to this number?"
- Use approved templates for messages you start. Replies are free-form for 24 hours after the patient's last message. After that, only an approved template can be sent.
- Never let a bot diagnose or advise on treatment. It should answer logistics only, and send any health question to a person.
- Keep health details out of messages. A reminder needs a date, not a diagnosis. India's Digital Personal Data Protection Act, 2023 expects you to use personal data only for the purpose it was given and keep it safe.
- Always offer a human. "Talk to the receptionist" should work at every step.
- Respect "stop". If a patient asks not to be messaged, stop.
Mistakes clinics make with WhatsApp bots
- Buying a chatbot before fixing the basics. If confirmations and reminders still go out by hand, automate those first.
- A bot that quotes outdated timings or fees. Wrong information is worse than none; someone must own the updates.
- No way to reach a person. A patient stuck in a menu stops trusting the clinic.
- Using an unofficial tool on the clinic's main number.
- Mixing offers into appointment messages, which teaches patients to ignore them.
- Only English in a clinic where most patients write Hindi or Hinglish.
What OPDly automates on WhatsApp
OPDly does not run a chat bot that answers patients' questions. It automates the messages a clinic sends for every visit, through the official WhatsApp Business Platform with approved templates — no app for the patient to install:
- On booking: the doctor, date, time and a live tracking link. A walk-in gets the token number instead.
- At check-in: the token number and a link showing how many patients are ahead and the expected turn.
- The evening before, at 6:30 PM: a reminder for appointments booked on an earlier day.
- On reschedule: the new date and time.
- After the visit: the same link opens the prescription and bill PDFs.
For patients who want to book without calling, OPDly has an online booking page: the patient picks a doctor and a day, and reception approves the request. The owner can switch each patient message on or off in Settings → Update Profile → Notifications → WhatsApp to patients.
Each message uses one WhatsApp credit. Every hospital gets 300 free credits, extra credits cost 20 paise each, and a message that fails uses no credit. Read more about WhatsApp for hospitals, see ready-to-copy reminder messages, or start a free 30-day trial.
Frequently asked questions
What is a clinic WhatsApp bot?
A program connected to a clinic's WhatsApp number that answers patients automatically. It usually answers questions about timings and fees, collects appointment requests and sends reminders, and passes the chat to a person when it cannot help.
Are WhatsApp bots illegal?
No. Bots that run on the official WhatsApp Business Platform are allowed. Bots that automate a normal or personal WhatsApp account through WhatsApp Web break WhatsApp's terms, and the number can be banned.
Is the WhatsApp Business API free?
No. Meta charges for business-started messages sent through the WhatsApp Business Platform, and the software provider you use may add its own fee. Replies inside the 24-hour window after a patient writes to you are not charged the same way. Check Meta's current rate card for India.
Can a WhatsApp bot book appointments for my clinic?
Yes, a booking bot can collect the patient's name, doctor and preferred date and pass it to your clinic. Many clinics get the same result with an online booking page, where the patient chooses the doctor and day without chatting.
Do I need a chatbot, or is automation enough?
For most small clinics, automatic confirmations, token numbers, reminders and reschedule messages cover the daily work. Add a chatbot only if you receive more timing and fee questions than your reception can answer.
Can a WhatsApp bot give medical advice?
It should not. A clinic bot should answer logistics only — timings, doctors, fees, bookings — and send any health question to the doctor or reception.
Which language should a clinic bot use?
The language your patients write in. In most Indian clinics that means English, Hindi and often Hinglish. Test the bot with real messages from your patients before you switch it on.
