Ready-to-copy patient appointment reminder messages in English and Hindi, the best time to send them, WhatsApp's rules, and how to automate reminders.

Quick answer: the simplest patient appointment reminder in India is a WhatsApp message the evening before, with the doctor's name, the date, the time and the clinic's address or a link. You can send it by hand from the WhatsApp Business app — fine for 5 patients a day, tiring for 50 — or automatically from clinic software that sends it for every booking. Automated reminders go through the WhatsApp Business Platform, which only allows business-started messages from pre-approved templates, sent to patients who agreed to receive them.
This guide gives you ready-to-copy reminder messages in English and Hindi, the best time to send them, the three ways to send them, and the mistakes that make patients ignore or block you.
Why reminders matter
Every patient who forgets an appointment leaves an empty slot that another patient could have used, and a doctor waiting with nothing to do. Patients rarely skip on purpose — they forget the date, mix up the time, or don't know the doctor's OPD hours. A short message the evening before fixes most of that, and WhatsApp is the app nearly every patient already checks.
What a reminder message should contain
Keep it short enough to read on a lock screen:
- Patient's name — so it doesn't look like spam.
- Doctor's name and speciality.
- Date and time — or the doctor's OPD hours if you don't book exact times.
- Clinic or hospital name and a short address or map link.
- What to do if they can't come — "reply or call to reschedule".
- Optional: what to bring — old prescriptions, reports, fasting for a blood test.
Leave out diagnoses, test results and anything you would not want a family member to read on a shared phone.
Ready-to-copy reminder messages
Evening-before reminder (English)

When you don't book exact times (token-based OPD)
Hello Rahul, your visit to Dr. Meera Shah (Paediatrician) is tomorrow, Wed 9 Sept. OPD hours are 10:00 AM – 1:00 PM; your token is given when you arrive. City Care Hospital, MG Road.
Follow-up reminder
Hello Sunita, Dr. Anil Kumar asked you to come back for a follow-up tomorrow, Thu 10 Sept. Please bring the medicines you are taking and your last prescription. City Care Hospital, MG Road.
Lab test the next morning
Hello Mohan, your blood test at City Care Lab is tomorrow at 8:00 AM. Please don't eat or drink anything except water for 10–12 hours before the test.
Change the fasting instruction to whatever your lab actually requires.
When to send a reminder
- The evening before (around 6–7 PM) works best for most OPDs: early enough to plan the morning, late enough to remember.
- On booking: a confirmation as soon as the appointment is made, so the patient has the details saved.
- On the day: for queue-based OPDs, a message with the token number or a live queue link when the patient checks in tells them how long to wait.
- Skip the reminder for appointments booked today for tomorrow — they just heard the details.
Avoid messages late at night or very early in the morning.
Three ways to send reminders
| Way | Good for | Limits |
|---|---|---|
| Manually from the WhatsApp Business app | A few appointments a day | Takes staff time every evening; broadcast lists reach only patients who have saved your number |
| Bulk-sending tools that use your personal or Business app number | — | Against WhatsApp's terms; numbers that send bulk messages get restricted or banned |
| Clinic software connected to the WhatsApp Business Platform | Clinics with more than a handful of bookings a day | Messages must use templates approved by Meta; each message has a small cost |
For anything more than a few patients a day, use software that sends through the official WhatsApp Business Platform. It sends the right message for every booking without anyone remembering to do it, and your number stays safe.
Rules to follow
- Get the patient's agreement. WhatsApp's business policy requires that people opt in to receive messages from you. Ask at registration: "Can we send appointment updates on WhatsApp to this number?"
- Use approved templates for business-started messages. On the WhatsApp Business Platform, any message you start (rather than a reply to a patient) must use a template that Meta has approved. Reminders and confirmations are "utility" messages.
- Replies are free-form for 24 hours. When a patient replies, you can answer normally for 24 hours from their last message.
- Keep health details out. A reminder needs a date, not a diagnosis. India's Digital Personal Data Protection Act, 2023 expects you to use personal data only for the purpose it was given and keep it safe.
- Respect "stop". If a patient asks not to be messaged, stop.
Mistakes that make patients ignore reminders
- No name of the clinic in the message — it looks like spam.
- Wrong time, because the appointment was moved and nobody sent the update. Send a new message on every reschedule.
- Several messages for one visit with no new information.
- Marketing mixed into reminders — offers and festival greetings in the same thread teach patients to stop reading.
- Only English in a clinic where most patients read Hindi or another Indian language.
How OPDly sends reminders automatically
OPDly sends WhatsApp messages through the official WhatsApp Business Platform with approved templates — no app for the patient to install:
- On booking: the doctor, date, time (or the doctor's OPD hours) and a live tracking link.
- The evening before, at 6:30 PM: a reminder for appointments booked on an earlier day.
- At check-in: the patient's token number and a link to see their place in the queue.
- On reschedule: the new date and time.
The owner can switch each message on or off in Settings → Update Profile → Notifications → WhatsApp to patients. Each message uses one WhatsApp credit; every hospital gets 300 free credits, extra credits cost 20 paise each, and a message that fails uses no credit. Frequently asked questions
How do I send appointment reminders to patients on WhatsApp?
For a few patients a day, send them by hand from the WhatsApp Business app the evening before. For more, use clinic software connected to the WhatsApp Business Platform, which sends an approved reminder template for every booking automatically.
What should an appointment reminder message say?
The patient's name, the doctor's name and speciality, the date and time (or OPD hours), the clinic's name and address, and how to reschedule. Keep diagnoses and test results out of it.
When is the best time to send an appointment reminder?
The evening before, around 6–7 PM, plus a confirmation when the appointment is booked. For queue-based OPDs, a message with the token number at check-in also helps.
Can I send bulk WhatsApp messages from my clinic's normal number?
Not safely. Bulk-sending tools that use a personal or WhatsApp Business app number break WhatsApp's terms, and the number can be restricted or banned. Use the official WhatsApp Business Platform through approved software.
Do patients need to agree to receive WhatsApp reminders?
Yes. WhatsApp's business policy requires opt-in. Ask for permission when you register the patient and note it in their record.
Do WhatsApp reminders cost money?
Messages sent through the WhatsApp Business Platform are charged per message by Meta or your software provider. In OPDly, each patient message uses one credit; every hospital gets 300 free credits, and extra credits cost 20 paise each.
Patient names, doctors and phone numbers in the samples are examples. WhatsApp's policies and pricing are set by Meta and may change. Last updated 23 October 2026.
